Yet it is common to use a mailbox simply because it came with a web-hosting package. That can be perfectly adequate for basic needs. Once email becomes central to the working day, however, it is worth considering a platform built specifically for it. Your website and email don’t have to share the same infrastructure
On conventional shared hosting, a website, its database and its mailboxes can all sit within the same overall hosting environment. That is convenient, especially when requirements are simple. But a website and business email do two different jobs, and keeping them closely tied together is not always the best fit as an organisation grows.
BWF Business Email places mail on specialist infrastructure separate from website workloads. No websites are hosted on the IP ranges used to deliver BWF Business Email. This matters because a compromised website, vulnerable PHP script or misconfigured application can sometimes send unwanted mail. Keeping website activity away from business mail infrastructure reduces that connection and helps the email platform manage its own sending reputation. It does not mean that every message is guaranteed to reach an inbox.
Email reputation matters
Receiving systems look at a range of signals when deciding what to accept, filter or reject. A specialist platform is built around email delivery and reputation rather than treating mail as an extra feature of a web server. BWF Business Email supports SPF, DKIM and DMARC configuration, dedicated filtering, controlled sending limits and outgoing-mail monitoring. Together, these give businesses and the BWF team better tools to manage ordinary correspondence. No provider can guarantee inbox placement: the recipient’s policies, your domain configuration and the content of a message also matter.
Business mailboxes are for person-to-person business email, not bulk newsletters or unsolicited campaigns. That restriction helps protect the platform’s reputation for everyone using it. Bulk marketing and high-volume application messages are better sent through services designed for those jobs.
More than just a username and password
Good email security needs several layers. BWF Business Email combines antispam, antivirus and malicious-message filtering with analysis of incoming and outgoing mail. Phishing protection and account-takeover monitoring add further checks, while whitelists and blacklists let administrators refine how messages are handled.
Organisations can use two-factor authentication and require it for users. They can also apply password-management policies, force a password change when needed, use password-expiry controls on applicable plans and restrict access by IP address where appropriate. No filter catches every harmful message, but these controls provide more ways to protect and manage important mail than a very basic mailbox.
Accidentally deleted an important email?
Every hosted mailbox has automatic daily snapshot backups, with up to 15 days of available mailbox history. Individual messages can be viewed or downloaded from a snapshot, and mailbox restore facilities are available. A full restore may carry an additional charge.
This gives you an email-specific recovery route rather than relying only on a backup of an entire web-hosting account. As with any snapshot system, recovery depends on what was captured: for example, a message that arrived and was deleted between daily snapshots might not be present.
Keep a longer history with Security Email Archive
For businesses that need longer-term records, the optional Security Email Archive keeps read-only copies of incoming and outgoing messages for up to 10 years. It has no mailbox-space limit within the archive service, offers search, and lets messages be exported or recovered. It can be enabled for individual mailboxes where that makes sense.
The archive can help with record keeping and with finding older correspondence that a user has removed from their mailbox. It is an additional service, and each organisation should decide its own retention and compliance requirements.

You are not tied to one application. BWF Business Email provides professional browser-based webmail and supports standard IMAP, POP3 and SMTP connections for mainstream email clients and devices. Higher plans add productivity features such as calendars, shared calendars, contacts and address books, tasks and shared resources. Clearer answers when mail needs investigating
“Where did my email go?” is a much easier question to work through when detailed delivery logs, mail-flow diagnostics and audit records are available. These tools help the BWF team investigate whether a message was accepted, rejected or filtered, and identify the next useful step. They cannot control every recipient’s mail system, but they provide far more information than guesswork.
A mailbox size that fits the work
Current BWF Business Email plans are priced per mailbox. The monthly equivalents below are plus VAT and billed annually:
- 8GB — £2.00 + VAT per mailbox/month (£24.00 + VAT annually).
- 25GB — £3.00 + VAT per mailbox/month (£36.99 + VAT annually).
- 50GB — £5.50 + VAT per mailbox/month (£66.00 + VAT annually).
Mailbox capacity can be expanded further when required, up to 100GB on suitable plans for an additional charge. The service has a 99.9% service availability SLA, is GDPR compliant and operates on European infrastructure. Those platform measures support your organisation’s data responsibilities; they do not replace your own policies and decisions.
Moving email doesn’t mean changing your website
Your website can stay exactly where it is. The change concerns the email DNS and MX records that direct mail for your domain. You do not need to move a website to BWF to use BWF Business Email, and existing BWF hosting customers can move just their email. Existing messages can be migrated between compatible IMAP mailboxes.
Our team can help plan the switch, configure the mailboxes and records, and advise on the timing. Like any DNS and mail migration, it needs care and testing, but it does not require a website rebuild.
When does business-grade email make sense?
Standard hosting email may be all you need for a lightly used mailbox, a hobby site or an address where occasional disruption would have little impact. BWF’s hosting plans remain a sound choice for those needs.
A separate business email platform becomes more attractive when several people depend on mail throughout the day; quotations, orders or invoices move through it; past messages matter; larger mailboxes or stronger security controls are wanted; or you want email to remain independent of where your website is hosted.
A website is one service. Email is another. If both are important to your business, there is a strong argument for giving each the infrastructure designed for its job.
